Urban Gateways Executive Director
The Executive Director, while retaining significant internal responsibilities, is expected to become active externally as the face of the organization. The Board desires a leader who will take the organization from its current position, build stability with funding organizations during these turbulent economic times, and lead further growth with a specific focus on implementing the strategic plan and reaffirming the mission of Urban Gateways.
The Executive Director role at Urban Gateways will provide an experienced and successful leader with the opportunity to oversee a well-regarded, dynamic, arts education organization that is making a substantial societal impact in Chicago and setting the model for arts education organizations nation-wide. Reporting to the Board of Directors, the Executive Director will oversee all aspects of the organization, including vision-setting and strategic planning, fund development, staff management, finances, programs and relationship management with key stakeholders. Program Coordinator
Urban Gateways is seeking to fill the position of Program Coordinator. In partnership with the Educational Program Manager, the Program Coordinator will manage all aspects of the Residency Program with particular emphasis on programming during the school day. The Residency Program places Urban Gateways roster teaching artists in partner schools and community programs to provide quality arts-integrative educational programming as well as direct arts instruction programming. The position is heavily defined by coordinating and scheduling tasks aimed at orchestrating successful artists’ residencies.
The optimal candidate will possess a deep curiosity and interest in the unique roles that artists play in these settings. Potential candidates should have interest in and familiarity with the fields of teaching artistry, the multiple disciplines of contemporary art, visiting artist residency models, arts partnerships, teacher/artist collaborations, and navigating the cultures of schools and communities. He/She will be familiar with the basic principles of artistic process and must show a willingness to serve as a detail-oriented liaison willing to take the lead on nurturing strong relationships among Urban Gateways, artists, and our schools and community partners.
Essential Duties & Responsibilities:
- Develop, coordinate, and realize all aspects of Residency programs. This includes working with artists and potential partners to develop individualized residencies, coordinating artists’ schedules, creating and maintaining budgets, executing service agreements, and preparing contracts.
- Meet and plan with schools and community organizations to develop residency frameworks, as well as serve as the connection among teaching artists, schools, community organizations and funders to mediate communication and fulfill funding guidelines.
- Support programmatic marketing and sales through tasks such as tracking program information and maintaining databases.
- Assist in measuring the success of individual residencies by executing program and residency evaluations.
- Collaborate with program, finance, and development staff members to streamline organizational procedures.
Qualifications:
- Bachelors degree in the arts or related field of study
- Demonstrated professional experience with the development, coordination, and execution of arts educational programming
- Strong administrative, interpersonal, oral and written communication skills
- Ability to prioritize and multi-task
- Sensitivity toward and ability to collaborate and work with diverse populations
- Ability to communicate Urban Gateways’ mission, programming and reputation to potential school, community organization, and funding partners confidently and concisely.
Competitive salary and benefits. Occasional extended hours on weekends and evenings. Position requires some local travel; car preferred.

INTERNSHIPS

Responsibilities:
- Event planning (gala, donor events, jr. board events, family events, art forums)
- Manage databases related to development and documentation initiatives
- Maintain development and documentation initiatives
- Serve as staff liaison to the Urban Gateways New Arts Forum
- Manage program documentation for marketing and development publications
- Manage programmatic and development-related mailing lists and distribution
- Collect and maintain archives, including articles, videos, photos, catalogs, data evaluations materials on programs, events and projects
Requirements:
- Knowledge of Microsoft Office and publishing and database applications
- Student in one or more of the following areas: Public Relations, English, Journalism, Communications and/or Nonprofit, Organization or Arts Management
- A demonstrated interest in the arts and/or education
- Excellent writing, editing, public speaking, organizational skills
- Well-developed interpersonal communication skills, particularly with people of all backgrounds and experiences

EVALUATION INTERNSHIP
In order to stay relevant in today’s results driven climate Urban Gateways has recently established a measurement framework and internal reporting system to assist in improving performance, better achieving our key organizational outcomes, align with our mission and most importantly maximize the social impact on the communities we serve.
This is an excellent opportunity to gain hands-on work experience in a very relaxed and fun atmosphere, while learning the ins and outs of non-profit work.
Requirements:

MARKETING & COMMUNICATIONS INTERNSHIP
Responsibilities:
MEDIA
- Draft and distribute press releases; follow up with media
- Update media lists
- Collect and maintain archives, including articles, videos, photos, and collateral
WEB/SOCIAL MEDIA
- Provide written content for the website and enewsletter; manage ongoing website content updates
- Contribute posts/tweets for UG social media channels (Facebook & Twitter)

GENERAL COMMUNICATIONS
- Visit UG sites to collect interviews, photos, and video
- Create multi-media documentation of visits through articles, slideshows, videos, etc.

Responsibilities:
- Provide support in the all programs including artist-in-residence programs, touring and matinee performances, community schools, Cultural Education Program, and other initiatives.
- Coordinate the logistics surrounding New Artist Auditions
- Provide administrative support around Program Sales Initiatives, including data entry, calls, and follow-ups
- Provide administrative and logistical support of program and community relationship-building initiatives and events, internally and externally.
- Provide logistical and documentation support around Art Options programming
- Visit, observe, and document programs as needed
- Assist in the production and distribution of department publications (print and electronic), correspondence, and the upkeep of educational materials.
- Maintain departmental filing systems and databases including archival history of the organization.
- Work with the Program Directors as liaison to the Board of Directors’ Program Committee; assist with planning meetings, producing agendas, minutes, and status reports for meetings as applicable.
- Perform other administrative and departmental duties as required.

The Program Sales Intern, with guidance from the Community Partnerships Manager, is responsible for scheduling and organizing core program sales and for maintaining information databases regarding those programs. This position will also be called upon to assist program and marketing departments in endeavors relating to core program services. Additionally, this person will support communication and sales strategies between Urban Gateways and school/community partners.
Reponsibilities:
- Initial point of contact for sales within the Program Department
- Main contact person for schools and community based organizations interested in core program components (touring performances, artist residencies, professional development workshops, and special projects)
- Coordination of scheduling, budgeting, and communication regarding assigned programs with school and community contacts and teaching artists
- Assist with Performance Program Showcases
- Create and maintain necessary paperwork for coordination of assigned programs
- Data entry of pertinent information into Salesforce database, including uploading artists and school contracts and related documents from teaching and performing artists (curriculum, attendance sheets, pre and post residency forms, etc.)
- Coordinate with Managers of Community Partnerships and Marketing to develop/design/execute/order new marketing materials as needed
- Maintain comprehensive knowledge of core programs and teaching/performing artists
- Observe in- and out-of-school performances under the guidance of the Manager of Community Partnerships
- Coordinate with the program staff to evaluate and design programs and provide additional support as needed for the Program Department.

This vital position will support Program Department efforts to document and capture arts programming. Major responsibilities will include site visits, coordination with artists and teachers, data and experiential collection, and editing/finalizing. Primary focus will begin with the Arts Wired program at Fairfield Elementary (highlighting 3 Teaching artists for 2 days/week), with potential to branch out to more programming.
