DEVELOPMENT & MARKETING DEPARTMENT
Marketing & Communications Intern
DEVELOPMENT & MARKETING INTERNSHIPS
EVALUATION INTERNSHIP
In order to stay relevant in today’s results driven climate Urban Gateways has recently established a measurement framework and internal reporting system to assist in improving performance, better achieving our key organizational outcomes, align with our mission and most importantly maximize the social impact on the communities we serve.
This is an excellent opportunity to gain hands-on work experience in a very relaxed and fun atmosphere, while learning the ins and outs of non-profit work.
Requirements:
- Content area knowledge of arts education programs in various settings, including school and community based learning environments (preferred, but not required)
- Strong attention to detail
- Self starter
- Excellent verbal and written communication skills
- Knowledge of Microsoft Office
- Candidate must have a car and a valid driver’s license
Responsibilities:
- Input survey results into database
- Assist in creating reports and summaries from data gathered from the field
- Assist in developing, maintaining and managing internal reporting systems for programs
- Conduct interviews and focus groups for program evaluations
- Assist in maintaining a physical and electronic documentation system for all programs
- Administer on-site surveys and observations
- Other duties as assigned

MARKETING & COMMUNICATIONS INTERNSHIP
Responsibilities:
MEDIA
- Draft and distribute press releases; follow up with media
- Update media lists
- Collect and maintain archives, including articles, videos, photos, and collateral
WEB/SOCIAL MEDIA
- Provide written content for the website and enewsletter; manage ongoing website content updates
- Contribute posts/tweets for UG social media channels (Facebook & Twitter)
- Edit and post video for UG YouTube channel
- Manage UG Flickr account and YouTube Channel
GENERAL COMMUNICATIONS
- Visit UG sites to collect interviews, photos, and video
- Create multi-media documentation of visits through articles, slideshows, videos, etc.
- Help write and edit publications
- Work closely with Marketing and Communications Manager in execution of marketing plan as it pertains to programs
- Event planning and execution (gala, donor events, junior board events, family events, art forums)
Requirements:
- Knowledge of Microsoft Office, Social Media (Facebook, Twitter, Flickr, YouTube), online video editing (imovie and/or Final Cut Xpress), basic HTML preferred
- Student in one or more of the following areas: Public Relations, English, Journalism, Communications and/or Nonprofit, Organization or Arts Management
- Demonstrated interest in the arts and/or education
- Excellent writing, editing, public speaking, organizational skills
- Well-developed interpersonal communication skills, particularly with people of all backgrounds and experiences
- Detail-oriented; ability to manage numerous tasks and projects while maintaining a positive attitude and cool demeanor; must be a team player

Responsibilities:
- Provide support in the all programs including artist-in-residence programs, touring and matinee performances, community schools, Cultural Education Program, and other initiatives.
- Coordinate the logistics surrounding New Artist Auditions
- Provide administrative support around Program Sales Initiatives, including data entry, calls, and follow-ups
- Provide administrative and logistical support of program and community relationship-building initiatives and events, internally and externally.
- Provide logistical and documentation support around Art Options programming
- Visit, observe, and document programs as needed
- Assist in the production and distribution of department publications (print and electronic), correspondence, and the upkeep of educational materials.
- Maintain departmental filing systems and databases including archival history of the organization.
- Work with the Program Directors as liaison to the Board of Directors’ Program Committee; assist with planning meetings, producing agendas, minutes, and status reports for meetings as applicable.
- Perform other administrative and departmental duties as required.
Qualifications:
- High school graduate

The Program Sales Intern, with guidance from the Community Partnerships Manager, is responsible for scheduling and organizing core program sales and for maintaining information databases regarding those programs. This position will also be called upon to assist program and marketing departments in endeavors relating to core program services. Additionally, this person will support communication and sales strategies between Urban Gateways and school/community partners.
Reponsibilities:
- Initial point of contact for sales within the Program Department
- Main contact person for schools and community based organizations interested in core program components (touring performances, artist residencies, professional development workshops, and special projects)
- Coordination of scheduling, budgeting, and communication regarding assigned programs with school and community contacts and teaching artists
- Assist with Performance Program Showcases
- Create and maintain necessary paperwork for coordination of assigned programs
- Data entry of pertinent information into Salesforce database, including uploading artists and school contracts and related documents from teaching and performing artists (curriculum, attendance sheets, pre and post residency forms, etc.)
- Coordinate with Managers of Community Partnerships and Marketing to develop/design/execute/order new marketing materials as needed
- Maintain comprehensive knowledge of core programs and teaching/performing artists
- Observe in- and out-of-school performances under the guidance of the Manager of Community Partnerships
- Coordinate with the program staff to evaluate and design programs and provide additional support as needed for the Program Department.

This vital position will support Program Department efforts to document and capture arts programming. Major responsibilities will include site visits, coordination with artists and teachers, data and experiential collection, and editing/finalizing. Primary focus will begin with the Arts Wired program at Fairfield Elementary (highlighting 3 Teaching artists for 2 days/week), with potential to branch out to more programming.
Skills
- Documentation: photo + video (own equipment a plus)

VOLUNTEER OPPORTUNITIES
Urban Gateways is currently seeking photo and video volunteers to help us document our programs. This is a great opportunity for anyone with interest and experience in photography and/or videography to build a portfolio, get some experience, or simply give back. By helping to tell the story of Urban Gateways, you will help to ensure the long life of programs that make lasting impact on Chicago’s underserved youth.

PHOTO VOLUNTEER
We are seeking volunteers to shoot high quality photos of students engaged in our arts residencies in schools throughout the Chicago area. Finished work will be utilized by marketing and development and displayed in collateral, on the web, and in various other media outlets.
Requirements:
• Must have your own equipment (digital SLR preferred)
• Photography experience
• Experience working with human subjects in a documentary style
• Car preferred, but not required
Responsibilities:
• Volunteer will be required to photo document specified residencies
• Shoot and edit photos
• Deliver DVDs of hi and lo resolution photos to Urban Gateways
• May be required to gather student/teaching artist testimonials while on site

VIDEO VOLUNTEER
We are seeking volunteers to shoot video of students engaged in our arts residencies as well as performances by our touring groups. Volunteers will deliver raw footage and 3-5 short edited clips; there may also be opportunities to complete a short documentary telling the story of the program, if interested. Finished work will be utilized by marketing and development and displayed in collateral, on the web, and in various other media outlets.
Requirements:
• Must have your own equipment
• Videography experience
• Experience working in a documentary style
• Car preferred, but not required
Responsibilities:
• Volunteer will be required to document specified residencies
• Edit existing archival footage for use in Marketing
• Shoot footage and provide 2-3 short edited clips for each program
• Deliver DVDs of work to Urban Gateways
